How ordering and technical support work

Ordering from Optimus Distributor starts with the three things every buyer asks — price, lead time, and whether the items are in stock — answered against a catalogue of 283 products across 30 categories. Technical support is built into the process: our engineers sit down with your engineers to confirm the specification fits the duty, then quotation, confirmation and delivery across Malaysia including Sabah and Sarawak.

Send your specification

Send whatever you have. A figure number and a quantity is a complete enquiry; so is a photograph of the nameplate on the valve you are replacing, or a line on a schedule that says "DN80 PN16 gate, WCB, flanged, six off". WhatsApp is the fastest route because it carries photographs, and photographs settle more questions than descriptions do. What we are trying to establish at this stage is narrow: which item you actually mean, and how many. Everything after this step depends on getting that right, which is why the checklist below exists. If part of it is unknown, send the enquiry anyway and mark the gap — an incomplete enquiry that says so is far more useful than a confident one that turns out to describe the wrong figure.

What a complete enquiry contains

Eight details. Send them together and steps two to four collapse into one exchange; send them piecemeal and every gap becomes another message. Nothing here is unusual — it is simply what a quotation has to state to be binding on both sides.

Stock, price and lead time

New customers usually want to know three things: price, lead time, and if we have the items in stock. Those are the three answers this step produces, and they are produced together, because separately they are useless — a good price on something nobody can supply for your date is not an answer.

Stock is checked against our own racks in Subang Jaya, not against a supplier's promise. If the item is there, we say so and it becomes a collection or delivery question. If it is not, we say that too, and the conversation becomes about the replenishment route and what your date will actually allow. What you send
  • The date you need it on site, and how firm that date is
  • Whether a partial delivery is useful or it must ship complete
  • Any acceptable equivalents, if the exact figure is not critical
What you get back
  • Whether the item is on our racks now, and in what quantity
  • A price against the specification as understood
  • A lead-time position for anything not held, stated honestly
  • A flag if your required date and the supply route do not agree

Engineering review, where the duty needs one

Not every enquiry needs this step, and we do not manufacture one where it is not warranted. A repeat order for a figure you have bought before goes straight to quotation. But when the specification and the duty do not obviously agree — a soft-seated valve on a steam line, a swing check behind a pump that has been banging, a PICV schedule with no differential pressure range attached — the enquiry stops here and an engineer picks it up.

We don't just sell parts; we sit down with your engineers to make sure they get the right solution. In practice that is a short conversation about fluid, pressure, temperature, cycling and what the valve is actually for. It resolves the two failures we see most: going too cheap and paying for it in downtime, or over-engineering well past what the project needs. Both are expensive, and both are avoidable in fifteen minutes.

What you send
  • The fluid, its temperature and its working pressure
  • How often the valve is operated, and by whom or by what
  • Any history — what failed before, and how it failed
  • P&ID extract, schedule or datasheet if one exists
What you get back
  • A recommended pattern, material and trim for the duty
  • The reasoning, so your engineer can check it rather than trust it
  • An honest note where a cheaper item would do the job
  • A question referred to the principal where the datasheet is silent

Quotation and confirmation

The quotation restates the specification in full — type, size, rating, material, ends, quantity — so that what you are approving is a description of the item, not just a number. That matters more than it sounds. Most disputed deliveries in this trade are not price arguments; they are two parties who each believed the other meant something slightly different by "DN100 stainless ball valve".

Confirm by purchase order, or by replying to the quotation in writing if your procurement allows it. From that point the order is locked to the quoted specification, and any change — a substituted figure, a different end connection, a revised quantity — is re-quoted rather than assumed. Delivery or collection

We supply our products across the country including Sabah and Sarawak. Goods are picked and checked against the order before they leave the floor — the point of checking at dispatch is that a wrong item found in our warehouse costs an hour, and the same item found on your site costs a shutdown.

Collection from No. 16, 16A & 18A, Jalan Tiara 3 in Subang Jaya is welcome during office hours: Monday to Friday, 8.30am to 5.00pm, with a lunch break between 1pm and 2pm, closed on weekends and public holidays. Tell us when you are coming and the order will be staged and ready at the counter rather than picked while you wait.

The relationship does not end at the delivery note

Optimus Distributor offers a complete range of services related to valves including valves testing, maintenance and repair. That matters for two reasons. The obvious one is that a valve in service eventually needs attention, and it is easier when the people who supplied it also know it. The less obvious one is that it changes how we sell in the first place: a distributor who will see the valve again has every reason to specify the one that lasts, rather than the one that closes the order fastest.

Repeat and project customers usually settle into a rhythm after the first order — a standing line list, known figures, and a stock position we plan around rather than react to. That is the point at which the three questions stop being asked every time, because the answers are already known. If your line list runs mostly on one principal, the KITZ line is the one we hold in the most patterns and sizes, and the natural place to start.
